IPRA Biennial Conference, Calgary, June 29th to July 3rd. 2006

Hello to all of you who have offered to volunteer for the IPRA conference - June 29 - July 3, 2006.

The conference is coming along nicely. We already have over 275 registered delegates from all over the world. We are anticipating over 350 registrants. There is a great list of plenary speakers and 147 commission sessions. Please check the website for details of the amazing list of conference presenters. Thanks to Jock McTavish and Larry Fisk for all of their work on the website. It is being updated regularly. www.ipra2006.com

We have compiled a list of specific volunteer tasks. Please review the list and choose some tasks you might be interested in helping out with. Please send your interests and the dates and time you are available to contribute. We will continue to update the task list as tasks come to light. Please send your preferences to Anna at aebrassa@ucalgary.ca. I will forward your preferences to the applicable coordinator.

VOLUNTEER TASKS

Pre-conference:

     1. E-Mail to conference notification all academic institutions in Canada
             Contact person and relevant faculties (Sue McGregor (Halifax),
             Larry may be able to assist in provided some of the information
     2. Fundraising general for cash and in-kind support of conference
            Any kind of support
            T-shirts for conference delegates
            Promotional stuff for registration packages
     3. Registration package preparation
     4. Billets
            (co-coordinators - Wek Kuol and Normal Aperocho)
            We are looking for homes for conference delegates to stay in while in Calgary
     5. LCD projectors
            We are looking for anyone able to donate the use of LCD projectors and or laptops
            from June 29th to July 2nd
     6. Poster distribution
            Distribution throughout city of Stephen Lewis and Shall Sinha (Gandhi portrayal) posters
             - advertising events (Lewis, June 29th, Sinha - July 1)
             These 2 events will be held in the evenings and open to the public
            with tickets available through Ticketmaster

During the Conference

     1. Display area
            Coordinator: Leah Bowen
            Set-up
            Take down
            Monitors
     2. Hospitality
            Welcoming delegates, way-finding, registration desk
     3. Commission session guides and monitors/ushers
            Taking delegates to commission session classrooms
            Usher at door to ensure "registered delegates only" enter
     4. Signage
            Placing signs up around campus and commissions session posting for each classroom
     5. Media relations Coordinator: Iris Li
            These tasks have yet to be detailed
     6. IT Tech support
            We need tech support to assist presenters with setup
            (computers connection to LCD projectors) and trouble shoot any problems.
     7. Conference Dinner
            We are still looking for an affordable venue to host 300-400 participants
            - (including a pow-wow

Dance - we are looking for a band, DJ (volunteer if at all possible) to follow the dinner

Depending upon what transpires we may rely upon volunteers to help with dinner

ANY AND ALL IDEAS FOR THIS ARE WELCOME

VOLUNTEER COMPENSATION

3 hours (1/2 day) volunteering = 1 commission session
1 full day = 2 commission sessions or 1 plenary session
Volunteers are asked to wait until all delegates have seats before sitting (if full you may stand)

**Volunteers who lead delegates to a commission session and then monitor the door for that session should choose this commission session as the one they would like to attend. A list of the commission sessions with dates and times will be sent out this week so you can choose the session(s) you would like to volunteer for.

We also ask you contribute 2.5 hours of other volunteer tasks.

VOLUNTEER ORIENTATION/POTLUCK


We will be having a volunteer orientation/potluck on June 16th at 6pm. At this meeting we will be allocating and finalizing the volunteer responsibilities during the conference. Please come prepared to confirm dates and times and tasks you able to contribute to. We will start to allocate tasks, times, dates as you respond to this email.
